We invest proactively in each other's personal and professional growth.Your Role The Senior Program Assistant (SPA) provides wide and varied administrative and organizational support for the FSO. The FSO SPA will support no less than one Director and one Deputy Director in a fast-paced and changing environment, and will focus on attention to detail, responsiveness, proactiveness, and accuracy.This position reports to the Executive Assistant.What You'll Do - Proactively manage a high volume of appointments/meetings and complex calendars, including organizing meetings over several different time zones (international and domestic).
- Provide thought partnership to Director in both time and calendar management based on a deep understanding of Director and FSO priorities.
- Manage complex domestic and international travel arrangements and when required, work with internal partners to secure visas. Coordinate travel arrangements for participants of foundation-sponsored meetings if needed.
- Manage monthly expense reconciliation on behalf of Director.
- Execute events, key leadership meetings, retreats, convenings, and presentations which may include coordinating arrangements for multiple participants, managing participant communication, handling logistics, and preparing and disseminating materials.
- Effectively manage relationships and communicate diplomatically. Support and drive team building and culture.
- Handle confidential information with discretion, diplomacy, and maturity.
- Build effective working relationships with key partners internal and external, with a people-focused approach.
- With the FSO OpsUnit, assist in managing team space planning, FSO rhythm of business meetings, team events, and other operations workstreams as assigned.
