SUMMARY: The Accounts Payable Specialist is responsible for analyzing all accounts payable documents for accuracy, investigating questionable data and taking corrective action when necessary. This position requires great initiative and judgment to make sure all invoices and coding are accurate and have been properly documented and approved prior to payment. ESSENTIAL DUTIES AND RESPONSIBILITIES:--- Review all invoices and process weekly check runs--- Match invoices with purchase orders, requisitions and evidence of receipt of goods or services.--- Interface with Purchasing & Receiving departments, and have a firm understanding of both functions--- Prioritize invoices according to cash discount potential and payment terms--- Reconcile expense reports and process credit card statements--- Reconcile vendor statements, research and correct discrepancies and answers vendor inquiries --- Maintain 1099 records and file annual returns--- Research and resolve variances between invoice and purchase receipt as well as Purchase Price Variance discrepancies--- Assist in month end closing as needed--- Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices--- Maintain regular and punctual attendance.--- Comply with all company policies and procedures.--- Performs other related duties as assignedSKILLS KNOWLEDGE AND ABILITIES:--- Ability to read and interpret general business forms and government documents--- Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division --- Ability to communicate effectively verbally and in writing--- Ability to interact with employees and vendors in a professional manner --- Ability to work independently and with a team in a fast-paced and high volume environment with emphasis on accuracy and timeliness--- Must be well organized, detail oriented, and reliable--- Possess strong organizational and time management skills and a professional attitude--- Basic knowledge of (GAAP) General Accepted Accounting Principles--- Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures--- Intermediate Excel skillsQUALIFICATIONS (Education and experience)--- 1+ years of Accounts Payable experience--- A degree in Accounting or related field preferred--- Experience dealing with manufacturing and inventory a plus--- Experience with ERP systems --- A combination of training, education, and experience that is equivalent to the qualifications listed above and that provide the required knowledge, skills and abilities. ESSENTIAL FUNCTIONSWorking conditions are in a normal office environment. While performing the duties of this job, the employee is regularly required to walk; sit and stand; using the hands to handle, finger, or feel objects, tools, or controls. Occasionally, the employee must crouch or kneel. The employee must occasionally exert or lift up to 20 pounds. Successful performance requires good eyesight with or without corrective lens. Requires long periods of time working at a computer and includes phone work.
