The Administrative Assistant will work closely with the Executive Director, Deputy Director and other staff to develop and enhance the daily administrative and operational systems for the LISC TC office including financial and contract management, information and client management, office logistics and hospitality, and scheduling support. Responsibilities will include: Responsibilities: Administrative - Support local financial management support, including processing and tracking local office financial reports; invoicing; updating payment status; and proactively communicating with Twin Cities financial management team and LISC National staff.
- Process monthly expense report for Twin Cities corporate credit card.
- Assist with administration, tracking and updating donor lists and records.
- Develop and enhance processes/procedures to effectively manage daily office operations.
- Work with LISC IT to maintain/troubleshoot LISC operating systems, software, applications, computer & other office equipment.
- Work with the following LISC platform of software to accomplish tasks: Salesforce, Certify, NetSuite, ADP, Box and Teams.
Executive Director and Local Advisory Committee Support - Assist with Executive Director's calendar including scheduling meetings, managing invitations, and coordinating travel arrangements.
- Working with the Executive Director and program staff, maintain client management system for E-News and other purposes.
- Assist with internal/external and Local Advisory Committee meetings, with responsibility for meeting coordination, logistics, distributing meeting materials and maintaining rosters.
Program Responsibilities - Provide logistical and programmatic support for LISC TC program staff, including processing grant disbursements and consultant invoices, and supporting grant compliance.
- Monitor and update internal reports and data lists.
- Assist with oversight and management of electronic files, with paper files as required.
Office Logistics and Hospitality - Provide logistical support for meetings, trainings, workshops, information sessions, orientations, conferences and special events.
- Maintain office and meeting space, proactively ensure office is prepared for meetings and guests.
- Order office and kitchen supplies, manage inventory and maintain adequate supplies for the office and staff.
- Meet and greet visitors, distribute mail, send overnight packages, answer phones, monitor general office email, and respond to direct inquiries.
- Serve as the primary contact for the Twin Cities office facility.
- Perform other related duties, as assigned.
