The mission of the Office of Facilities Planning and Management (OFPM) in the School of Medicine is to plan for and manage the facilities needs of the School of Medicine community in the areas of facilities operations, capital planning and budgeting, projects from programming through occupancy, space inventory, and facility assets.About Stanford Research Park: SRP is located on the San Francisco Peninsula between El Camino Real and the foothills of the Santa Cruz Mountains, south of Stanford University's main campus and west of Palo Alto. It encompasses roughly 1.7 square miles. The School of Medicine continues to expand its presence in SRP, such that by 2025 approximately a third of our research space will be in the Research Park. A nexus of innovation, SRP is where people come together to collaborate, discover, and break new ground.Reporting to the Director of Transition Strategies and Stanford Research Park (SRP) Operations, the Stanford Research Park (SRP) Coordinator will assist in marketing and community-building efforts for the School of Medicine community in the Research Park. In addition, the SRP Coordinator will perform office manager duties and provide administrative support to OFPM staff at our SRP office. This is a hybrid position and will be based in Stanford Research Park.Duties include*: Respond to inquiries, and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.Draft and/or generate routine communications; coordinate production (formatting, copying, etc.) and dissemination of documents, such as presentations, conference and seminar materials, complex reports, brochures, and displays.Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.Process and monitor routine financial transactions, which may include researching and resolving discrepancies.Maintain office supplies and equipment; obtain vendor quotations, as needed. May coordinate office moves.Maintain approved content on websites.May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.*- Other duties may also be assigned. DESIRED QUALIFICATIONS: 2 years of relevant experience in a professional environment.Strong writing skills in business communication.Proficient in Microsoft Office.Comfortable multi-tasking and prioritizing tasks without guidance.Excellent interpersonal skills.Punctual with strong attendance history.EDUCATION & EXPERIENCE (REQUIRED):High school diploma and three years of administrative experience, or combination of education and relevant experience.KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED): Proficient computer skills and demonstrated experience with office software and email applications.Demonstrated success in following through and completing routine tasks.Strong organizational skills and attention to detail.Strong verbal and written communication skills.Excellent customer service and interpersonal skills.Ability to prioritize and multi-task.PHYSICAL REQUIREMENTS*: |
