Job Type: TempPay Rate: $30.00/hourlyDuration: 4 MonthsHours: 9:00 AM 5:00 PMLocation: New York, NY 10027Reporting to the Director, Residential, the Administrative Assistant supports the Residential and Commercial Operations Department within Facilities and Operations.Job Responsibilities:Answers calls and emails from tenants, staff, and vendors; prioritizes and responds to these inquiries based on standard protocol and guidelines.Collects, organizes, and communicates information between superintendents, managers, tenants, and vendors.Prepares/distributes correspondence to residents and contractors, maintaining and ordering office supplies and equipment, distributing mail, and maintaining the schedule of multiple team members.Including but not limited to typing, filing, faxing, and copying documents, entering work order information into the database, and ordering uniforms for building staff.Creates work orders and ensures branding and wording is consistent throughout the department.Manages the Residential office space, schedule conference rooms, order supplies, and scheduling interviews.Manages hiring process paperwork, maintains meeting agendas, and takes notes as required.Performs other duties as assigned or as necessary.Minimum Qualifications:High school diploma or equivalent required; some college preferred.Three (3) years of related experience required.Must be self-motivated and detail-oriented with exceptional organizational, communication (verbal and written), and interpersonal skills.Must be able to work in a fast-paced professional office environment with minimal supervision.Must be proactive and able to meet tight deadlines while prioritizing tasks.Technical Qualifications:Computer proficiency with Microsoft Office Suite (Windows, Outlook, PowerPoint, Excel).Familiarity with Residential Tenant Management System (RTMS), IBM Maximo Maintenance, and Kronos Payroll/Timekeeping Procedures preferred.nextSource is proud to be an Equal Employment Opportunity and Affirmative Action employer.
