As the Administrative Assistant to the Clinical Training Team and Advanced Training Team, responsibilities will include: --- Providing administrative and project coordination support for the team, to include shipping and returning training materials and equipment to as needed for educational events. --- Executing administrative tasks associated with Clinical and Product Foundational Training/onboarding for our field team, such as communicating requirements, logistics, organizing and verifying documents, and assisting with schedule changes. --- Managing the submission of Continuing Education Unit (CEU) applications, maintaining accurate records of completed CEUs, and coordinating the distribution of CEU certificates. --- Facilitating document maintenance and approval process in a content management platform (e.g. Veeva Vault) --- Performing administrative tasks associated with ExCEL activity planning, tracking and execution. --- Communicating cross-functionally with other departments within Abiomed, J&J, and vendors --- Assisting with scheduling travel for team members --- Documents information for correspondence, meeting materials, and other reporting sources in a variety of formats --- Preparing meeting agendas, materials, managing calendar requests, and ensuring appropriate technology support --- Maintaining flexibility, anticipation, and advanced organizational skills which are essential for adjusting to changing daily schedules. --- Developing project communications, including but not limited to PowerPoint decks, Word documents, Excel spreadsheets, SharePoint administration, etc. --- Maintaining team distribution lists --- Scheduling and prioritizing internal and external meetings and planning small team events (managing event communications, contracting venues, managing catering, room set-up, etc.) --- Facilitating interview scheduling for future Clinical Training Team personnel --- Demonstrating Johnson & Johnson's Leadership Imperatives and Credo.
