Position: Administrative Assistant
Reports to: Director
Status: Full-Time, Non-Exempt (Hourly), Non-Management
Location: C3 Skid Row 627 San Julian St LA
Hours: Mon-Fri 7:30am-4:00pm

Summary
The C3 Skid Row Outreach program is part of a county-wide street-based engagement effort in the Metro Los Angeles Area. C3 multidisciplinary outreach teams provide intensive case management services to the highest need homeless individuals living on the streets of skid row. The teams aim to identify, engage, and connect, homeless individuals to medical care, mental health care, interim and/or permanent housing, supportive services, and life-saving care.
The Administrative Assistant will assist the C3 Skid Row team with various duties including creating and organizing client databases, managing office needs, assisting clients, running reports, and assisting with data quality needs. Under the direct supervision of the Assistant Director, the Administrative Assistant will be responsible to create detailed reports of all clients being served, provide detailed note taking during coordination meetings, and assist in tracking of all outcomes.

Essential Duties & Responsibilities
1. Assist Director and Assistant Director with managing data quality needs for outreach case management teams funded by the Department of Health Services (DHS).
2. Attend meetings to act as note-taker for multiple agencies working on shared initiatives.
3. Run data quality reports in electronic databases including CHAMP and HMIS
4. Audit electronic and physical client charts
5. Compile and organize client data for tracking purposes
6. Order office supplies, medical supplies, and manage inventory
7. Assist with managing staff training calendar for department new hire orientation
8. Help to direct clients when necessary
9. Pick up supplies and equipment from other TPC offices on a weekly basis
10. Reconcile and submit financial reports
11. Support with the receiving, and sorting of mail.
12. Proofread written communication and documents when directed
13. Assist in the preparation of power point, excel and other documents
14. Collect and input monthly statistics and outcomes
15. Compile safer drug use supplies and kits for outreach teams to distribute.
16. Other duties as assigned

Qualifications
1. High School diploma or GED and at least two years' Administrative/Office experience
2. Detail oriented with excellent time management, organizational, written, verbal, and computer skills, with exceptional phone etiquette
3. Extensive knowledge of Microsoft Excel, Outlook, Sharepoint, etc.
4. Interest and comfortability being a part of a social service team working with clients with complex barriers (severe mental illness, chaotic substance use, etc.).
5. Belief in providing excellent client care in a "whatever it takes" clinical setting. This includes a belief in "harm reduction" approaches.
6. Knowledge of office management systems and procedures
7. Bilingual English and Spanish preferred
8. Knowledge of CHAMP and HMIS preferred
9. Experience with managing data quality (running reports, organizing data, etc.
