Job Description: Summary Assist the Operations Department on communication with customers and internal sales and operations staff, regarding asphalt pavement maintenance projects. This position will be responsible for renewing and /or obtaining business licenses, contractor licenses, bonds and permits pertaining to all projects. This position will collect data and create reports, requiring attention to detail, accuracy and organizational skills. Responsibilities Customer Service/Client Contact o Responsible for all communications with client regarding project status, with an emphasis on excellent customer service o Communicate with key sales, senior management, Project Managers, crews and subcontractors on all projects Permit/Bond Process Develop and manage the permit process o Create and submit all permit applications, checks and communications with municipalities, o Utilize intern to pick up permits --- Business Licenses o Apply for new licenses o Maintain existing licenses --- Reminder Notices to clients: o Send schedule reminder notices to clients 48 prior to project schedule date --- Purchase Orders o For PM's on the fly while they are in the field --- Phase maps o Assist the PM in creating and standardizing the design --- JULIE/DIGGER locates o Submit tickets for all locates and track in XRM --- Monitor project plan established by Project Manager/Superintendent --- Prepare project status reports and complete post job evaluations of work --- Assist with overall Operations related tasks as needed Requirements: Strong customer service skills --- Collect and research data --- Design work flows and procedures --- Problem Solving - Identify and resolve problems in a timely manner --- Develop alternative solutions --- Work well in group problem solving situations --- Use reason and patience in all situations --- Project Management -Coordinate project plans --- Complete projects on time and within budget --- Manage project team activities --- Pursue training and development opportunities --- Respond promptly to customers' needs --- Maintain confidentiality --- Demonstrate group presentation skills --- Write clearly and informatively --- Give and welcome feedback --- Inspire and motivate others to perform well --- Help implement cost savings measures --- Display a willingness to make decisions --- Set goals and objectives --- Prioritize and plan work activities --- Safety and Security - Observe safety and security policies and procedures --- Commit to long hours of work when necessary to reach goals Physical Demands/Work Environment: While performing the duties of this job, the employee is regularly required to use hands to finger, handle or feel, reach with hands and arms and talk and hear. The employee is frequently required to stand and walk. The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The employee is frequently exposed to moving mechanical parts. The employee is occasionally exposed to fumes or airborne particles.
